Privacy when using our contact form for volunteers

We process your contact details and volunteer preferences to review your application and contact you about volunteer opportunities. This data is not kept in a website database; it exists only in the automatic email sent to our team after you submit the form, nowhere else.

l x l (learning experience lab) is a volunteer association in Copenhagen and the data controller for this event. Contact: hello@lxlab.dk

What we collect and why: your name and email from this sign-up, to manage registrations, check you in and send event updates. Your answers to the sign-up questions, to mix the tables. Your name on a printed badge, so people can find each other. Event donations are handled by Luma and its payment provider. Feedback forms are optional. We never sell your data or use it for advertising, and anything we publish uses totals and unattributed quotes, never names.

Photos: a volunteer may take photos during the evening. If you’d rather not appear, tell the host or the photographer on the night, or email us, and we’ll leave you out or remove the picture. We blur readable name badges before sharing any photo.

Who sees it: only the volunteers running this event. We use Luma (registration and check-in), Tally (feedback) and Mentimeter (anonymous live polls). We don’t pass the guest list to co-hosts unless we ask you first.

How long: we keep guest lists for 24 months to invite you to future events, then delete them. Payment records are kept as long as Danish bookkeeping rules require.

Your rights: you can ask to see, correct or delete your data, or object to how we use it, by emailing hello@lxlab.dk. You can also complain to the Danish Data Protection Agency (Datatilsynet).
